HOA and community association management software
Know where the work stands at every association, before the board asks
Managemate is the operating record for the work between board meetings. Your community managers log each update once, board members get a weekly digest of the updates, and the manager’s report for the board packet is generated from the same updates.
Used today by several management companies and close to 200 condominium corporations across three Canadian provinces, plus one in Mexico. Priced in US dollars for US associations.
Mapleton quote received: $4,746 incl. tax, including root pruning, a root barrier and a 2-year warranty. Hot Paving was $5,401.40 without the root work. Recommending Mapleton; recommendation and both quotes are linked. Board approval needed by Oct 23 to hold the Oct 27 start.

Built for the work between board meetings
Volunteer boards change
Board members are volunteer homeowners elected at the annual meeting, so an association’s history can’t depend on one board member’s files or one manager’s inbox. Decisions, documents and updates stay with the association.
The board packet, without the rewrite
Instead of rewriting the month for the manager’s report, community managers review what’s already logged: open items, items for the board’s decision, and vendor contracts with their renewal dates.
Alongside the HOA software you already use
Managemate works alongside the accounting and homeowner systems you already use.
Where Managemate is used today
Our clients today are several management companies and close to 200 condominium corporations across three Canadian provinces, plus one in Mexico.
US associations pay in US dollars and work with the same team that onboards and trains our clients today. An association can be running in as little as three weeks, working back from its next board meeting. Managemate is a business partner member of CAI through CAI Canada, where our founder serves on the advocacy committee.
“If this doesn’t tell board members that their manager is working for them, I don’t know what else could do as much with so little effort. It also goes beyond protecting the manager; it protects the directors’ fiduciary responsibilities.”
Victoria Kaye, Principal and Lead Condo Manager, Hamilton Kaye Integrated Management Inc.

Questions HOA managers and boards ask
Is Managemate available in the US?
Yes. Managemate is available to US community association management companies and self-managed HOAs, priced in US dollars, with onboarding and training from the same team that serves our clients today. Our clients today are close to 200 condominium corporations across three Canadian provinces, plus one in Mexico.
Does Managemate replace our HOA accounting software or homeowner portal?
No. Assessments, budgets, payments and homeowner requests stay in the systems you use for them.
Can we use our own manager’s report format?
Yes. The report’s section headings, branding and terminology can be set to match your company’s, alongside items for information, decision and ratification, vendor contracts with their renewal dates and the documents you choose to include, such as certificates of insurance.
What happens when a community manager leaves?
The work stays with the association. The incoming manager finds its full history, the open work and the dates coming up.
What happens if an association moves to another management company?
Your company receives a copy of that association’s data. If the board would like to keep using Managemate, it can ask to transfer the account into the association’s name under its own subscription.
Can a self-managed HOA use Managemate?
Yes. A board can subscribe directly, with board editing included, and each board member is trained during onboarding, in a group or one on one.
