Condo board software for directors

Know what’s happening at your property between meetings

Managemate brings your manager’s updates to you in a weekly digest, keeps the property’s records where directors can find them, and generates the management report from the same updates, so the board isn’t left waiting for news.

From a client in Canada

“Managemate is our key property management tool. All of our board material and corporate documents are shared and archived through the tool, and we’ve made it part of our management agreement, so our management team uses it as an ongoing operational tool.”

John Sariyannis, Board President, TSCC 2853

Without Managemate

When the news arrives only at the meeting

Between board meetings, directors often hear little about the work underway at their property, and when they do, it’s usually because someone asked. The rest arrives in the meeting package, all at once.

That isn’t for lack of effort. Managers are busy, and writing a separate update email for each board takes time they rarely have, so directors spend meetings catching up rather than deciding.

With Managemate

Managemate carries the updates your manager already records to the board as the work happens. It’s built for your board and your management team rather than for residents, so it works alongside any resident portal your property already has.

What directors receive with Managemate

The board and the manager working from the same record

Your management company manages its staff. What Managemate gives the board is a clear view of the work at your property, so directors and the manager work from the same facts, and meetings can focus on decisions rather than catching up.

Directors can ask questions in the notes on a record and mention the manager, who’s notified, so the question and the answer stay with the work rather than in someone’s inbox.

A record that stays with the property

When a manager moves on, the work stays. The next manager finds the full history, the open work and the dates coming up, so the board doesn’t lose years of context with one departure.

A complete record also protects the board. When an owner asks why a decision was made, the quotes, reports and updates behind it are on file.

When your board holds the subscription, the account and its records stay with the property if you change management companies.

From a client in Canada

“If this doesn’t tell board members that their manager is working for them, I don’t know what else could do as much with so little effort. It also goes beyond protecting the manager; it protects the directors’ fiduciary responsibilities.”

Victoria Kaye, Principal and Lead Condo Manager, Hamilton Kaye Integrated Management Inc.

Bringing Managemate to your property

Your board can subscribe to Managemate directly. Your manager’s account is included, and we set up the property, bring in its core records and train your manager and directors, working back from your next board meeting.

If your management company would rather roll Managemate out across the properties it manages, we’d be glad to speak with them at your board’s introduction.

Whichever path you choose, involve your manager from the start. Managemate works when the manager uses it as the place the property’s work is recorded, and the board sees the benefit through what the manager records. We’re glad to join that conversation.

Self-managed condos use Managemate the same way, with directors recording the work and preparing the report themselves.

Pricing

Subscribing directly

Boards that subscribe directly pay monthly by the number of units, with directors’ editing included and a $49 monthly minimum. Onboarding is a one-time fee of $499 per property.

Through your management company

If your management company already provides Managemate, directors’ read access is included, and your board can add the ability to create and track its own work for $0.25 per unit per month, with a $49 minimum.

Questions boards ask

Is Managemate a resident portal?

No. Managemate is for your board and your management team: the work they plan and track, the records behind it and the reports to the board. It works alongside the portal your residents use for requests and notices.

What will we see, and how often?

Once your manager adds an update to Managemate, directors can see it, along with everything else in your property’s account: the work, the notes and the documents. Routine updates also reach you in the weekly digest, and time-sensitive ones can be sent immediately, so you don’t have to go looking.

Do directors need training?

Training is included in onboarding for every user, directors included, in a group session or one on one. Each director also receives a welcome email and a short series of getting started emails, and can reach our support team from inside Managemate.

Who can see our property’s information?

Only the people given access to your property’s account, such as your directors, your manager and your manager’s team. Owners and residents don’t have access. The records remain the corporation’s confidential information, and management companies that use Managemate confirm in their agreements with us that the records belong to their clients and that they have the right to share them with us.

What happens if our management company changes?

If your board holds the subscription, the account and its records stay with the property. If your management company holds it, your board can ask us to transfer the account into the corporation’s name under its own subscription, and the management companies we work with have agreed to this.

What happens to our records if we leave?

At the end of a subscription, on request, we provide a full copy of the property’s records and documents at no charge.
