Condo management software features

Log each update once. Managemate turns it into the report, the digests and the morning overview.

The same update stays in the property’s history with its documents, so anyone who joins later can see what was done and why.

How one update travels

1

Logged on the work

A manager adds a status update to an activity, such as “Both walkway repair quotes received; recommendation attached”. It’s dated and shows who wrote it.

2

Seen by the board

Directors can see the update in the property’s record straight away. A weekly digest carries routine updates to directors, while managers can send time-sensitive updates immediately.

3

On the morning agenda

The activity’s dates put it on the manager’s daily agenda and contribute to the counts leadership sees in the Portfolio Overview. If it goes 14 days without an update and has nothing scheduled, it’s flagged as needing one.

4

In the report

When the manager generates the management report, the update appears under the item it belongs to, for the reporting period.

5

Kept in the history

The update stays on the activity, with its documents, as part of the property’s history.

Bayside Village is an example property. Product views simplified for clarity.

Who sees what

Each property has its own account

People are given access property by property, with roles for the management team and for directors. Leadership’s Portfolio Overview covers every property a person has access to.

Directors see progress without asking

Directors can open the property’s record and see its work, updates, notes and documents, as your team does. Digests and notifications bring the updates to their inbox, so they don’t have to go looking.

Directors read, and can be given more

Read access for directors is included. A board can also be given the ability to create and track its own work, which is included when a board subscribes directly and is an add-on when a management company holds the account.

Notes stay with the work

Your team and your directors can discuss the work in notes on each record, so the conversation stays with the work rather than in someone’s inbox.

Owners and residents have no access

Managemate isn’t a resident portal. Only the people given access to a property’s account, such as its directors, its manager and the manager’s team, can see its information.

When someone leaves

Their account is closed, and the records they created stay in place under their name, marked as a former user.

What connects, and what doesn’t

Resident portals

If your resident portal sends a notification for each new or updated request, we can configure your accounts so that each one creates or updates an activity in Managemate, assigned to the property’s manager. Nothing is written back to the portal, and replies to residents are still made there.

Procurement

Managemate connects with SparcPro, so a request can be sent from an activity, with its description and attached files, directly to your property’s SparcPro account.

Email

Each property has its own Managemate address. Emails forwarded to it are saved as documents that can be linked to the work.

Accounting

Managemate doesn’t connect to or export to accounting systems. Documents the board needs, such as the approved budget, can be filed in the property’s record.

Your records if you leave

At the end of a subscription, on request, we provide a full copy of each property’s records and documents at no charge.

Where it runs

Managemate runs in the browser on a computer, tablet or phone, and can be added to a phone’s home screen so it opens like an app.
