A better way to conduct, track, and follow through on property inspections

Inspections can be a powerful tool for condominium and homeowner association management. But with traditional tools, they are also one of the least effective workflows in the industry.

Notes about issues found often end up stuck in a notepad, email or static report. Photos live and then get lost on phones. Reports are created later, if ever formalized. Issues are re-entered into spreadsheets or task lists, if they are logged at all. At every step of the way, follow up gets harder than it needs to be.

We built Inspections in Managemate to provide managers and boards with a more reliable tool that can generate verifiable results.

This new feature gives managers a single, end to end way to conduct inspections, including capturing issues on-site in real time, generating professional reports in one click, and turn findings into actionable follow through, all from a central workspace and mobile application.

Why we built an Inspections feature

We recently started supporting a leading regional property management company. They provide 5-star service at reasonable prices by investing in their people, process and technology. Among other workflows we are supporting (including generating management reports, weekly digests, and annual planners), we learned that inspections are a big value add for their clients, however, the tools that exist in the marketplace leave a lot to be desired.

Most inspection challenges are not caused by the inspection itself. Good managers and management teams perform inspections regularly. But as we have written before, the inspection itself is not the problem. The follow through is.

When findings are spread across tools, emails, and documents, the cost shows up in predictable ways:

  • Administrative effort in resolving issues piles up
  • Records are incomplete or hard to trace
  • Reporting takes up extra effort and admin time
  • Even on the best of teams, some issues get missed or forgotten, leading to frustration and unnecessary and increasing costs to remediate the issue over time.

Digital inspection tools work best when they collect information as it is observed, standardize how inspections are run, and eliminate re keying and report assembly later on.

Our goal with Inspections in Managemate was simple: Make inspections actionable, traceable, and easy to carry through to completion.

What’s new: inspections built directly into your workflow

Inspections in Managemate are not a separate add on or standalone tool. They are built into the same system managers and boards use to manage tasks, communication, and follow up.

Here’s what that looks like in practice:

  • Conduct inspections digitally - Managers can run inspections directly from Managemate, whether they are on site or back at their desk. The workflow is structured and repeatable, helping ensure consistency from one inspection to the next while still allowing flexibility for real world conditions. Because everything is captured digitally as you go, there is no need to recreate notes or remember details later.
  • Capture issues as you go - When an issue is identified, it can be logged immediately with written notes, supporting photos, and clear context. Capturing issues in real time reduces errors, improves accuracy, and creates a more reliable record of what was observed at the time of inspection. It also eliminates the need to reconcile handwritten notes or scattered photos after the fact.
  • Generate professional inspection reports - Once an inspection is complete, the information that has already been captured can be turned into a clean, professional, shareable PDF in just a few clicks. These reports are suitable for boards, owners, and record keeping, and they reflect the inspection exactly as it was conducted, without manual formatting or copy paste work.
  • Convert findings into real follow through - For us, this is the most important part. Inspection findings do not stop at documentation. Each issue can be turned into action directly from Managemate, so nothing gets lost between “observation” and “resolution.” Managers can:
