Software for community association management companies

A clear view of the work at every community you manage

Your community managers, assistants and administrators keep one shared record for each community in Managemate, so leadership can follow progress across the portfolio, and boards receive reports and updates without anyone rebuilding them.

Example communities. Product views simplified for clarity.

From a client in Canada

“It’s been a lifesaver for us. We’ve come so far in the past year, and I couldn’t recommend Managemate enough to another management company.”

Davyd Carey, Operations Manager, Lionheart Property Management

When every manager runs their own system

In many management companies, each community manager keeps track of their work in their own way, whether through their inbox, a personal calendar, a spreadsheet or a notebook, and writes the board report from memory before each meeting.

That holds together until a community manager is away, a board asks a pointed question, or someone leaves, and leadership discovers how much of a community’s history was only ever in one person’s head.

Managemate gives your whole team one way of working, without asking anyone to give up the accounting system or resident portal they already use.

For the people responsible for every community

Board reports in your company’s format, generated in Managemate

The report’s section headings, branding and terminology are set to match the way your company already reports. Every community manager then generates the same report in Managemate from the updates logged during the reporting period, so boards see a format they know, whoever manages their community.

Same logged work, your headings and branding.

One update, used everywhere it’s needed

A community manager adds a short update in Managemate, usually a sentence or two. That one update keeps your Portfolio Overview current and reaches the board members’ weekly digest, the manager’s report and the community’s history.

What comes off your community managers’ list

  • A separate update email to each board

  • Rebuilding the manager’s report from memory

  • Searching an inbox for a contractor’s quote or an engineer’s report

  • Answering “where are we on this?” from leadership or a board member

From a client in Canada

“Managemate’s given directors the visibility they were looking for, while simplifying how our management team manages and shares information.”

Start with one community, then roll out across your portfolio

Your first community can be running on Managemate in as little as three weeks, working back from its next board meeting. Your other communities then follow the same steps.

  1. Week 1

Set up and bring in the records

We set up the community’s account, bring in its core records and recreate your last manager’s report.

  2. Week 2

Train the community manager and assistant

We train them on their own community: updating activities, creating new ones and sharing updates with the board.

  3. Board meeting

    Week 3

    Prepare the first report together

Two to five business days before the board meeting, we generate the first manager’s report with the community manager and send it to the board.

  4. Then

    The rest of your portfolio

The community manager’s other communities, and then the rest of your team, follow the same steps, at a pace that suits each manager.

From a client in Canada

“We’d just finished rolling out another system, and my team was apprehensive about doing it again. But they’re the ones who brought Managemate to me and said, ‘We need this.’ With a staged approach, it’s actually been quite easy.”

Shane Haskell, CEO & President, Lionheart Property Management

Questions management companies ask

Who decides when the board hears about an update?

Your community manager does. Community managers decide when an update goes into Managemate, and whether board members hear about it immediately or in the weekly digest. Once it’s in Managemate, board members can see it, along with the rest of the community’s record.

Is Managemate available in the US?

Yes. Managemate is available to US community association management companies and self-managed HOAs, priced in US dollars, with onboarding and training from the same team that serves our clients today. Our clients today are close to 200 condominium corporations across three Canadian provinces, plus one in Mexico.
